Privacy · Bouwregie
Bouwregie is an app for tradespeople: quotes, planning, work orders and invoices. Below is what we store and why. No fine print.
Tradesperson data
Company details, rates, customers, quotes, jobs, photos and invoices you enter yourself. Stored on our server in Europe, visible only to your account. A demo account ("View the demo") is deleted fourteen days after last use; your own account ("Set up myself") is kept and only deleted at your request. A backup is made every night (seven daily and four weekly copies).
Customer data
Name, address, phone and email as entered by the tradesperson, plus what the customer does on a quote link (approval, signature, questions, date choice). Customers can ask the tradesperson for access or deletion; the app has a button for that (export and erase). Erasing means: name, address, phone, email, notes, house file, appliances, signatures and signed names, customer questions, booking requests, portal links, warranties and photos are deleted or anonymised; the customer links to quote and invoice stop working. Invoices are kept for seven (NL) to ten (BE) years under tax law; they keep only the legally required details (name, address, country, VAT number and amounts). Log entries are deleted after 90 days and never contain addresses or names.
AI
A spoken or pasted job description may be sent to an AI service (Anthropic) to work out what the quote should contain. No customer address or payment data is sent with it. Without an AI key everything runs on the built-in knowledge base.
Payments
Payment links go through Mollie. We only store amount, status and a reference; no account numbers.
Calendar connection
- You decide whether to connect a calendar (Google Calendar, Microsoft 365/Outlook or Apple iCloud). Without one the app works fully.
- Reading: from events in the calendars you select we read start, end and title. We use them only as "busy" when proposing times. We do not read attendees, attachments or notes.
- Writing: planned jobs are written as events to the calendar you choose (title, address, customer phone, link to the job). Move or delete such an event in your calendar and the app follows.
- Access: Google and Microsoft via OAuth with the smallest possible scopes (Google: calendar.events and calendar.readonly; Microsoft: Calendars.ReadWrite). iCloud via an app-specific password you create and can revoke yourself. Tokens and passwords are stored encrypted (AES-256-GCM) on the server.
- Revoking: one tap on "Disconnect" erases tokens, the events we read and the link between jobs and calendar events. For Google you can also revoke access at myaccount.google.com/permissions, for Microsoft at account.microsoft.com/privacy.
- Google: use of data from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements. We share calendar data with nobody and do not use it for advertising or AI training.
Privacy questions: via the tradesperson's contact details on the quote, or via the administrator of this installation.
